Digital Employees

An agent does a task. A digital employee owns a job.

Same AI underneath. The difference is everything around it: a written job, rules written for your business, a person it reports to, and a number it is measured on. You point an agent at a task. You hire a digital employee into a job.

What changes when you hire instead of prompt

QuestionAn AI agent or botA digital employee
What you give itA prompt.A written job: what it owns and what done looks like.
Who it answers toWhoever typed last.A named person in your business.
What it must never doWhatever nobody thought to forbid.A written list, built in and tested before go-live.
How you know it worksYou go and check.Measured every day. When something slips, a person hears about it.
When it is unsureIt guesses. It stops and asks the person it reports to.
What it costsA seat, plus whatever it burns.About 1/10th the cost of the hire. One number, all in.

Hired, not installed

  • We write the job down first

Before we build anything, we sit down with you and write out the job, just like you would for a new hire: what it handles, what a good day looks like, who it checks in with, and the lines it never crosses.

No guessing what you bought. You will see it on one page.

  • Onboarded like a new hire

    • We test it before it ever talks to your customers.
    • For the first two weeks, we work right alongside it and answer your questions.
    • You decide when it is ready, not us.
    • If something is off, we make it right.

Five questions for any AI you are sold

Whoever you buy from, ask these. A digital employee from Shepard Consulting answers all five before it is built.

  1. Show me its job description.

If there is not one, you are buying a tool, not hiring help.

  2. What will it never do, and where is that written?

Limits should be on paper before it touches your customers, not discovered after.

  3. Who does it report to, by name?

Someone in your business should own its work, the same as any new hire.

  4. Which number tells me it is working?

If nobody can name the number, nobody will notice when it stops.

  5. What happens the day it is wrong?

AI can be wrong, and confidently so. The answer should be a person and a process, not a promise.

Agents and digital employees: questions people ask

What is the difference between an AI agent and a digital employee?

An AI agent is software you point at a task: it does what you ask, when you ask. A digital employee is AI hired into a job. It has written duties, rules written for your business, a named person it answers to, and it is measured every day it works.

Is a digital employee just a chatbot?

No. A chatbot waits for a question. A digital employee has ongoing work: it watches an inbox, handles recurring tasks, keeps records, and brings anything outside its limits to a person.

What does a digital employee cost?

About a tenth of what the person doing that work would cost. It is one number, all in. The exact figure depends on the job and the tools it connects to, and I send it by email once I know both.
