AI Digital Employees

The office help you keep meaning to hire.

A digital employee is an AI agent with a job description: a role, a measurable goal, the tools it is allowed to use, and hard limits on what it can never do. Shepard Consulting builds them for small businesses as executive assistants, bookkeepers, and operations managers that work through email and chat and hand anything risky to a human.

Everything happens by email. Replies within 24 hours from matt@shepardconsulting.ai.

What is actually going on

You know you need somebody in the office. You also know what hiring costs, how long training takes, and what happens to the business the week that person quits.

So the follow-up emails stay unsent and the receipts stay in the truck.

What is included

  • A real job description first

Role, goal, backstory, and guardrails get written before anything is built. If you cannot say what the job is, a bot cannot do it either.

  • Works where you already work

Email and chat. You forward it a bill or send it a message the same way you would with a person.

  • Hard limits built in

A bookkeeper that records but cannot pay. An assistant that drafts but does not send to certain people. The limits live in the system, not in a polite request.

  • Memory

It remembers your vendors, your rules, and the corrections you gave it last month.

  • A training period

The first weeks are supervised. You correct it, the corrections stick, and the leash gets longer as it earns it.

Three steps, all by email

  1. Tell me the job

What you would hand off tomorrow if the right person walked in. By email is fine.

  2. I write the role and build the employee

You review the job description and the limits before it touches anything real.

  3. Supervised start, then it runs

You approve its work at first. The approvals drop away as the error rate does.

Where this has already been proven

Three of them work for me. An executive assistant handles my follow-up email and signs with its own name and a title that says what it is. A bookkeeper records every bill and receipt into Xero as a draft for me to approve. A rental manager runs guest messaging on my short-term rentals.

Before any build starts, we write down exactly what done means and we both sign it. I keep working until every item on that list functions. No cutoffs, no close enough.

AI Digital Employees: questions people ask

How is a digital employee different from a chatbot?

A chatbot waits for a question. A digital employee has a job: it watches an inbox, does recurring work, keeps records, remembers corrections, and escalates when something is outside its limits.

Is it safe to let AI near my books?

Mine records and never pays. Every entry lands as a draft for a human to approve, and it has no ability to move money. That is how I would build yours.

Does it replace my staff?

Usually it replaces the work nobody was getting to. Owners tend to hand it the follow-up, filing, and data entry their people hated anyway.

Do people know they are talking to AI?

Mine says so in its signature, and I recommend the same. People are fine with it when the work is good and nobody is pretending.

How much does a digital employee cost?

It depends on the job and the tools it needs to connect to. Describe the role in a message and I will reply with a quote by email.

Tell me what you need fixed

Send a message with your business name and what is not working. I will reply by email with what I would do and what it costs.
